Understanding the progress of your case
Once your application has been submitted, a new case will be created and a case reference assigned. You will receive an email with your case number and a link to your case. However, you can view your cases anywhere, anytime with your login to the portal. In the portal, your case will be given a status to indicate its progress. Explanation of the status descriptors is provided below:
Status | What this means |

Assigned to customer relations | We have received your application and it is being validated by Customer Relations Team before sending to Approvals Team for review. |
Awaiting Customer Response |
We need more information from you. Please respond to this request via the 'Respond to Council' button in the case. ![]() |
Additional Information Provided by Customer | We have received your information and will review your application. |
Assigned to Approvals Team | Our Approvals Team is making some final checks before the Building Surveyor assesses your application. |
Awaiting Building Surveyor Assignment | Your application is waiting to be assigned to the relevant Building Surveyor |
Assigned to Building Surveyor for Assessment | Your application is being assessed by a Building Surveyor. |
Assigned to Senior Building Surveyor for Assessment | Your application has been referred to Senior Building Surveyor for quality checking/assessment. |
Assigned to Approvals Team for Determination | The team are doing their final checks before issuing your determination. |
Approved | Your application has been approved. A notification will be sent to your email and attached to your case with further details. |
Rejected | Your application has been rejected. A notification will be sent to your email and attached to your case with further details. |
Refused | Your application has been refused. A notification will be sent to your email and attached to your case with further details. |
Proposed Lot - On Hold | We are waiting on Landgate issuing a Certificate of Title before proceeding with your application. |
